Set up and manage a group festival trip
Invite your crew, organize lodging and arrivals, set a working budget, and track shared festival expenses from one group trip.

A shared campaign link arrives before the festival and can prepare a group trip with the festival dates and a sourced hotel estimate already filled in. The person who starts the trip invites the rest of the crew from the trip itself.
The web walkthrough points to the live trip controls. The mobile video covers the same planning jobs, then previews Festival Mode for the day of the event. Every privacy, invitation, budget, and expense choice remains yours.
Check the trip and lodging plan
Start on Plan. Review the festival dates, hotel name, check-in and check-out, nightly estimate, source, and any availability warning before anyone relies on the plan.
Add the people staying together and use each person's dates to understand the roommate share. A lodging plan does not reserve a room or confirm a rate.
Invite the crew
Open Members and copy the private trip invitation. Send that invitation to the friends who belong in this trip. The public campaign link starts a separate trip for each signed-in dancer, while the trip invitation joins people to the same plan.
Share a flight when you are ready
A flight stays private until you add or link it to the campaign trip. That choice shares the airline, flight number, and arrival or departure times with trip members. Your ticket price stays private.
A reusable DanceLedger group has a separate Members can share flight plans permission. The group owner turns that on before members add flights to plans linked to that group.
Track the money that matters
A budget is a working target and can be left blank. Add an expense after a real cost happens, then record who paid and how the group should split it.
Use the trip ledger to review shared costs and settlement. Hotel estimates, reservations, confirmed expenses, and repayments stay separate.
Continue on your phone
Install DanceLedger from the App Store or Google Play, sign in with the same Abrazo account, and open Trips. The group trip and its current members, lodging, flights, and expenses follow your account.
Use Festival Mode when the event begins
The shared link is for planning before the festival. When a linked festival is underway, the DanceLedger mobile app offers Festival Mode with what is happening now, what comes next, and the full event schedule.
Save sessions to My schedule, use reminders where they are available, and open the quick expense action when the group pays for something. The video uses a clearly named, time-shifted staging fixture to demonstrate this day-of view before the real festival dates.

Open the shared campaign link, read the trip context, and enter your email for the passwordless sign-in link.

Return through the email link and open the prepared group trip.

Review Plan, including the festival dates, sourced hotel estimate, and lodging availability note.

Add or confirm the roommate dates in the lodging plan.

Open Members, copy the trip invitation, and send it to your crew.

Decide whether to share a flight, then search and link the matching itinerary when it is available.

Set an optional budget, then add confirmed shared costs from Expenses.

Install DanceLedger on your phone and sign in with the same account to continue the trip.

Common questions
Does the hotel estimate reserve a room?
No. Check the named hotel or booking provider for current price and availability, then complete any reservation there.
What can my trip see when I share a flight?
Trip members can see the airline, flight number, and schedule you attach to the trip. Your ticket price remains private. Reusable groups also have an owner-controlled permission for member flight sharing.
Should every friend use the public campaign link?
One person can start the group trip and send its private invitation from Members. A friend who opens the public campaign link directly starts or resumes their own campaign trip.
Do I need to set a budget before adding expenses?
No. The budget is optional. Add real expenses as they happen and set a target later if it helps the group plan.
Why does the video show the festival happening now?
The recording uses a temporary, time-shifted staging preview so you can see the day-of Festival Mode before the real event. It does not change the published festival dates or create a live customer event.
